The BotsAndUs Office Manager will wear multiple hats and will be the heart of our operations.

Overview:
We are looking for an experienced Office Manager to oversee general operations and to ensure our offices/facilities run smoothly. 

You are a doer and a self-starter. You easily build rapport with others. 

You observe and pre-emptively support the management team. You are passionate about growing yourself
and versatile in your approach to doing.


Key Responsibilities:

  • General office operations: Devising systems to ensure efficient general office operations;
    recurring tasks could include mail/ parcel shipping / receiving organisation, filing, office supplies,
    office orders (Deliveroo groceries, coffee/tea, snacks) etc.
  • Overseeing guest/visitor experience onsite. Work collaboratively with other teams to
    welcome customers for demos, suppliers, partners, investors, potential hires etc.
  • Working collaboratively with the HR team - i.e. updating office policies, onboarding new
    hires onsite, coordinating calendars and approving holidays etc.
  • Event management: Taking ownership of events, in house or offsite, and coordinating with the
    different stakeholder teams. Some examples are office birthday celebrations, monthly team
    activities, annual offsite trips, long term planning sessions, industry forums and meetups, etc.
  • Booking offsite fun activities and catering - i.e. bowling, minigolf, chocolate making etc.
  • Travel arrangements for different team members - flight tickets, accommodation, car
    rentals etc.
  • Bookkeeping & Procurement: Support the management team and the accounting firm in
    recording operational expenses by efficiently managing: invoice payments, expense reports,
    pension payments, reimbursements, supplier payments etc. (Bookkeeping experience is preferred but not essential)
  • Support different teams in various procurement requirements - i.e. supplier payments,
    supplier updates and enquiries on lead times/quotes etc.


Previous Experience & Key Skills


A minimum of 3 years in an office management or administrative role.

Comfort with ambiguity and a very high level of autonomy and accountability. You are not afraid to roll
your sleeves up to make stuff happen.

Ability to thrive in a very fast-paced environment by efficiently managing your time and multitasking to
work around other team members’ schedules. Prior experience in a high-growth and dynamic tech
startup is preferred.

Other key skills: exceptional time management skills, attention to detail, interpersonal skills and
advanced computer skills with an aptitude to learn new systems (i.e. Quickbooks, Bamboo HR etc.).
